Free advice and planning


We are a service organisation with more than 30 years’ experience in the business of meetings and conferences. We offer advice and assistance with:

- the strategic planning of the conference

- keeping an overall view and making the project manageable

- professional preparation of invitation and bid material, which you can submit to the decision-making bodies who select the host city for the conference

- planning and acting as practical organiser for an inspection visit to Aalborg by the aforementioned decision-makers


The various options for the financing and budgeting of the conference:

- conference and hotel facilities

- transport to and during the conference

- banquets, receptions, social events etc.

- conference technology, translation, AV equipment etc.


Marketing

We can also assist you with marketing – for example by making various promotional materials available: PowerPoint presentations, posters, roll-ups, brochures, picture material, etc. 

In addition we can:

- supply supplementary material for the welcome package

- set up and service a tourist information stand at the conference

- be present at the presentation for the decision-making organisation

Budgets and financial control


- Negotiation of contracts with a whole range of subcontractors – for example, conference centre, hotels, restaurants, rental of conference technology, transport companies etc

- the overall budgeting and financial control

Registration and logistics

- advice on drawing up the announcement, that the conference has come to Aaborg

- formulation of registration material – both online and printed

- production and dispatch of printed material

- receipt and registration of replies and registration fees etc.

- hotel distribution for participants

- sending out hotel and participant confirmation, plus various brochure material

- printing of accommodation lists for the hotels

- preparation of name badges, participant list, tickets etc.

- arrangement of social events, trips for participants, excursions etc.

19 August 2008. A congress organizer writes:

The Mental Health Europe Conference 2008 was organised in co-operation with SIND – Danish Association for Mental Health, together with SIND North Jutland, the Department of psychiatry of the North Denmark Region and the Community Psychiatry Department of the Municipality of Aalborg. VisitAalborg gave much support to this work being in charge of the conference logistics, such as selecting the conference venue, the services during the conference as well as the social events in Aalborg. The conference was a success, and much of its success is due to VisitAalborg's thoughtful and careful planning and attention to the myriad of details. It was a pleasure working with such a highly skilled and professional organisation.
